Media, Publications & Communications Event Guidelines

Media, Publications & Communications must be involved from the planning stage of every official Lengau People's Society event, not only on the day of the event.

Three functions, one standard

Media, Publications & Communications works with event organisers so information is accurate, branding is approved, coverage is professional, and post-event reporting is complete.

Official website

The complete, verified source of event name, date, time, venue, purpose and status (Upcoming, Live or Completed).

Events listing

Social media

Creates awareness, interest, engagement, attendance, participation and follow-up. It never replaces the website as the source of truth.

Media team

Sets communication standards, coordinates coverage, and turns completed events into an approved archive of highlights.

Official website event information

Every official event page should carry the fields below when they have been supplied. Do not invent speakers, prices, statistics or programme times.

  • Event name
  • Event theme
  • Event description
  • Date, day and time
  • Venue and full physical address
  • Province
  • Event purpose
  • Target audience
  • Organising department
  • Contact person and number
  • Registration information where applicable
  • Speakers, guests and VIPs when approved
  • Programme when approved
  • Event poster
  • Directions / location
  • Official website and social-media links
  • Frequently asked questions where appropriate

Status is automatic from the event date: UPCOMING, LIVE, then COMPLETED. After the date, the page becomes Event Highlights β€” not a fresh invitation. Join us / Register now language is removed unless registration is still relevant.

Working example: Rustenburg Wealth & Legacy Day 2026.

Social media content system

AWARENESS β†’ INTEREST β†’ ENGAGEMENT β†’ ATTENDANCE β†’ PARTICIPATION β†’ FOLLOW-UP

Do not flood social media with repetitive posts. Select meaningful moments. Capture β†’ Verify β†’ Approve β†’ Publish.

Before the event

Announcement, official poster, countdown, speaker introductions when approved, leadership invitation, short invitation videos, purpose, topics, venue, date/time reminders, behind-the-scenes preparation.

Suggested countdown: 7 days Β· 5 days Β· 3 days Β· 2 days Β· Tomorrow

During the event

Arrival, registration, venue, opening, leadership, speakers, presentations, audience participation, business opportunities, member testimonials, networking, special activities, luxury car handover where it happens, closing.

After the event

Highlights, photo gallery, highlight video, leadership message, member testimonials, business opportunity highlights, luxury car handover, community moments, key outcomes, thank-you message β€” only with approved material.

Event organiser media brief

Every organiser completes this checklist and sends it to Media, Publications & Communications before promotional work starts. Ticks stay on this device only.
